HRM Software Development Services

HRM software holds the record of who works for you, on what terms, and what they are owed. When that record lives in spreadsheets and separate tools, the cost is rarely one big failure. It is a steady drip of rekeyed data, leave balances nobody trusts, payroll corrections after the run, and managers who cannot answer a simple question about their own team. We build human resource systems that hold this record in one place and let the rest of your stack read from it.

Benefits of a Custom HRM System

Off the shelf HR platforms are a good fit for a company whose processes look like everyone else's. Custom development earns its cost when yours do not, when the system has to obey rules a vendor did not anticipate, or when HR data has to feed systems the vendor does not integrate with.

One Record of Employment - AgileTech Vietnam

One Record of Employment

Contracts, roles, reporting lines, salary history, leave balances, and documents live in one place with one identity per person. Reporting stops being an exercise in reconciling three spreadsheets that disagree, because there is only one source to read from.

Rules Encoded Once, Applied Consistently - AgileTech Vietnam

Rules Encoded Once, Applied Consistently

Leave accrual, overtime eligibility, probation periods, notice, and pay grades are configured as rules rather than remembered by whoever has been in HR longest. The system applies them the same way every cycle, and when a rule changes you change it in one place.

Workforce Data You Can Actually Query - AgileTech Vietnam

Workforce Data You Can Actually Query

Headcount by function, attrition, cost of a team, leave liability, and time to fill become queries against structured data instead of a manual collation exercise. Managers get the answers for their own teams without going through HR for every question.

HRM Modules We Build

Most engagements do not start with all of these. They start with the two or three that hurt, on a data model that leaves room for the rest. The list below is what we build, not a claim that you need every item.

Employee Records and Org Structure

The core register: personal and contractual data, job history, reporting lines, cost centres, and documents with expiry tracking. Everything else reads from this, so it is the part worth getting right before anything else is built.

Attendance, Time, and Leave

Clock in and out, shift patterns, timesheets, overtime capture, and leave requests with approval routing. Accrual and carry over are configured to your policy, and balances are calculated by the system rather than maintained by hand.

Payroll Processing

Gross to net calculation against your pay elements, deductions, and the statutory rules that apply in your jurisdiction, with payslip generation and a payment file for your bank. Where you already run a payroll provider, we integrate rather than replace.

Performance and Goals

Review cycles, goal setting, competency frameworks, and feedback capture, with the review calendar driven by dates already in the employee record rather than tracked separately by HR.

Recruitment and Onboarding

Requisitions, applicant tracking, interview scheduling and scorecards, offer management, and an onboarding checklist that provisions accounts and equipment. A hired candidate becomes an employee record without rekeying.

Employee and Manager Self Service

Staff update their own details, submit leave, and retrieve payslips. Managers approve, see their team, and run their own reports. This is usually where the administrative load actually falls, because it removes HR from the middle of routine transactions.

HR Analytics and Reporting

Headcount, attrition, absence, payroll cost, and leave liability, plus statutory and internal reports built to the formats you are required to produce.

Integration Layer

Connections to finance and general ledger, identity and directory services, benefits and insurance providers, and your bank. HR is the origin of a lot of reference data, so this layer is what stops it being retyped elsewhere.

Your Reliable HRM Development Partner

The reasons global companies trust AgileTech Vietnam with their HRM development, from platform expertise to uncompromising quality and security.

AgileTech team building event

We Start With the Data Model

HR systems fail slowly, through a data model that cannot express a secondment, a contract change mid month, or a person who holds two roles. We design for those cases at the start, because retrofitting them after payroll depends on the schema is expensive and disruptive.

Payroll Is Treated as Correctness Critical

A payroll calculation is either right or it is a problem for a real person. We build pay logic against test cases you supply and reconcile a parallel run against your existing process before anything goes live.

Your Rules, Not a Vendor Default

Leave policy, pay structure, and approval hierarchy are configured to what you actually operate. Where your policy is ambiguous, we surface that rather than silently picking an interpretation and encoding it.

Built to Integrate

HR data is consumed by finance, IT provisioning, and often facilities. We build the system as something other systems can read from through documented interfaces, not a closed island that needs exports.

Access Control Taken Seriously

HR data is among the most sensitive a company holds. Role based access, field level restrictions on compensation and personal data, and audit trails on who viewed and changed what are part of the build rather than a later addition.

Handover Is Part of the Engagement

You receive the source code, the schema, the deployment configuration, and documentation. If you later want to run it with your own team or another vendor, nothing about our engagement is designed to prevent that.

  • we read your handbook and contracts, and interview the people who administer the exceptions, because the exceptions are where the requirements really are
  • core records and self service first, payroll once the record is trustworthy, analytics once there is history worth analysing
  • the new payroll runs alongside the old one and the two are reconciled line by line until they agree
  • leave balances, salary history, and employment dates are migrated and validated, not left behind in the previous system
  • delivered to the two groups separately, because they use different parts of the system for different reasons
  • the first full month end and the first review cycle are when real problems surface, so we plan to be present for them
Industries That Benefit from Custom HRM Development - AgileTech Vietnam

Industries That Benefit from Custom HRM Development

The need for a custom HR system tends to come from workforce shape rather than sector: shift work, high headcount turnover, multiple entities, or pay rules that a standard product cannot express.

Manufacturing

Shift rosters, overtime rules, and production line attendance, often across multiple plants with different local agreements.

Retail and Hospitality

High turnover, part time and casual contracts, and rostering that has to respond to trading patterns week by week.

Healthcare Providers

Rotas, on call, credential and licence expiry tracking, and staffing rules tied to clinical coverage requirements.

Logistics and Transport

Distributed crews, hours of work limits, allowances tied to routes, and attendance captured away from any office.

Professional Services

Utilisation, chargeable time, and skills and certification tracking, usually needing to reconcile with project and billing systems.

Construction

Site based attendance, subcontractor and direct labour side by side, and safety certification that has to be current before someone can work.

Education

Academic and administrative staff on different contract types, term based patterns, and workload allocation.

Technology and Outsourcing

Multiple entities and countries, contractor and employee mixes, and equity or bonus structures that standard payroll products handle poorly.

How We Keep an HRM Project on Track

The working practices AgileTech Vietnam applies on every HRM development engagement to keep delivery predictable and quality high.

Policy Before Software

We map current policy and current practice, which are frequently not the same thing, and get the difference resolved by you before it becomes a defect report about the system behaving unexpectedly.

A Named Owner on Your Side

HR system decisions cut across HR, finance, IT, and legal. Projects stall when no single person can settle a disagreement between them, so we ask for that person to be identified at the start.

Test With Real Payroll Cases

We ask for anonymised historical cases including the awkward ones: mid month joiners, unpaid leave, retroactive adjustments, terminations. Those are what break payroll logic, not the standard employee.

Migrate Deliberately

Data from the old system is profiled before migration. Duplicates, missing dates, and impossible values are reported back and corrected rather than carried across into a new system that then inherits the old problems.

Privacy by Design

Data retention periods, access boundaries, and what is logged are decided during design, with your legal or compliance function involved rather than consulted after the system already holds the data.

Plan the Cutover Date Around the Calendar

Go live is scheduled against your pay cycle and financial year, not against project convenience. Cutting over mid cycle creates reconciliation work that is entirely avoidable.

Frequently Asked Questions

What is HRM software?

A human resource management system is the system of record for employment. It holds employee data, contracts, and org structure, and typically adds attendance and leave, payroll, performance management, and reporting on top of that record. The defining characteristic is that other systems, finance especially, depend on it being correct.

How is this different from the HR module in your ERP development service?

Scope and starting point. Our ERP work delivers HR as one module inside a wider suite that also covers finance, inventory, and operations, and it makes sense when you are replacing or building that whole estate. This page is for a standalone HR system, which is the right choice when your finance and operations systems are staying as they are and only HR needs building. If you tell us which situation you are in, we will point you to the right one rather than sell you the larger scope.

How is this different from your employer of record and payroll service?

That service is operational and this one is software. Under employer of record we act as the legal employer in Vietnam and run payroll for you as an ongoing service. Here we build a system that your own HR team operates, on your own infrastructure or cloud account. Some clients use both, with us employing a Vietnam based team while separately building the HR system their head office runs.

Can you build payroll for our country?

We build payroll calculation engines and have done so against several statutory regimes, but we do not claim standing expertise in every jurisdiction and we will not pretend otherwise. The workable approach is that you or your local advisor supply the authoritative rules and a set of worked examples, we implement and test against them, and a parallel run proves the result before go live. Where a country has a mature local payroll provider, integrating with it is often the better answer than rebuilding its logic, and we will say so.

Should we build or buy?

Buy, if your processes are close to standard and an existing product covers them. The honest position is that a configured product is cheaper and faster whenever it fits. Custom development is justified when your pay or leave rules cannot be expressed in a product, when you need integration a vendor will not provide, when multiple entities have to operate under one system with genuinely different rules, or when per seat licensing at your headcount exceeds the cost of owning the software. We are willing to tell you a product would serve you better.

Can it integrate with the systems we already run?

That is normally the point. Common integrations are the general ledger for payroll journals, identity and directory services so joiners and leavers drive account provisioning, benefits and insurance providers, and the bank for payment files. Where a target system has an API we use it; where it does not, we work with scheduled file exchange in the format it accepts.

How do you handle the sensitivity of HR data?

Role based access with field level restriction on compensation and personal data, audit logging of reads as well as writes on sensitive fields, encryption in transit and at rest, and retention rules configured to what your jurisdiction requires. We ask your compliance or legal function to review the access model during design, because the correct boundaries are a policy decision rather than a technical one.

How long does an HRM build take, and how is it phased?

It depends on scope, and anyone quoting a duration before seeing your policy is guessing. What we can describe is the shape: employee records, org structure, and self service first, because they deliver value early and establish the data model; attendance and leave next; payroll after the record is trustworthy, with a parallel run; performance and analytics last. Each phase goes live rather than waiting for the whole system.

Do we own the code?

Yes. You receive the source code, database schema, deployment configuration, and documentation. There is no runtime licence owed to us and no technical obstacle to you continuing with your own team or another vendor.
